DESCRIPTION: * OPS/TO 2
- Perform Customer Service Representative duties and respond to queries from internal and external clients.
- Monitoring and operating the switch board effectively
- Receiving, screening and transferring incoming telephone calls to the appropriate officers;
- Monitoring extensions and making reports to LIME regarding those that are malfunctioning.
- Receiving messages for officers when they are out of office or unavailable;
- Directing queries to the appropriate officer(s);
- Maintaining a log of clients and visitors to the office, indicating to whom they were referred;
- Directing clients and visitors to the appropriate destination – conference rooms and to staff locations;
- Announcing the arrival of clients and visitors to the appropriate officers;
- Receiving and signing for hand-delivered correspondence and dispatching them accordingly;
- Preparing monthly reports on the activities of the Customer Service Representative desk;
- Manages the attendance Register
- Prepares monthly attendance and punctuality report
- Assists with providing clerical and secretarial support to the Human Resource and Administration Unit;
- Delivers excellent customer services at all times
- Any other related duties that may be assigned from time to time by the Manager Human Resource and Administration.
QUALIFICATIONS:
- 4 CXC or GCE subjects including English Language
- Training in customer service and telephone operating
- Two (2) years related working experience
- Any combination of education and experience
- Excellent interpersonal and communication skills
- Working knowledge of office procedures and practices
- Excellent customer service skills
- Working knowledge of the PBX system/switchboard
- Ability to work in a changing environment and be innovative
